Credit Pass Policy
We provide a variety of credit pass options to suit different schedules and preferences. From single-credit passes to multi-credit bundles, there's a pass for everyone.
Expiration Dates:
Please note that credit passes have expiration dates to ensure fairness and encourage consistent attendance. The expiration date varies depending on the type of pass purchased.
Unused Credits:
If you're unable to use all the credits within your pass before the expiration date, unfortunately, those unused credits will expire. We encourage you to plan your attendance accordingly to make the most of your pass.
Refunds:
We do not offer refunds for unused credits within a credit-pass. Once a pass is purchased, it is non-refundable.
Extensions:
In exceptional circumstances, such as medical emergencies or prolonged absences due to unforeseen circumstances, extensions to credit pass expiration dates may be considered. Please reach out to our team (info.karmastudios.me@gmail.com) for assistance in such cases.
Membership Policy
Whether you're looking for a short-term commitment or long-term access to our studio, our membership options are designed to accommodate your lifestyle and goals.
Billing Cycles:
Our memberships feature automatic billing cycles, ensuring convenience and consistency for our members. Each membership is billed on the same date every month and is automatically charged to the designated card on file.
Membership Management:
Students have the freedom to manage their memberships online through our membership management page. This includes the ability to cancel their membership at any time.
Cancellation Policy:
Once a membership is cancelled, any remaining credits will expire at the end of the current billing cycle. We do not offer refunds for memberships.
UNLIMITED Pass Policy
Due to system settings, any class bookings made beyond the UNLIMITED pass’s expiration date will be canceled.
We encourage students to regularly check their class schedules and pass status to avoid unexpected cancellations.
Activation and Duration:
1. The unlimited pass is activated on the date of purchase.
2. The pass allows unlimited class bookings within the active period only.
Booking Classes:
1. Students may book classes scheduled within their pass’s valid time frame.
2. Classes occurring after the pass’s expiration date cannot be booked.
Party Booking Policy
Reservation and Payment:
To book a party at our pole studio, a non-refundable deposit of $75+tax is required at the time of booking to secure the reservation. The remaining balance is due on the day of the event.
Cancellation Policy:
Cancellations made at least 14 days prior to the scheduled party will receive a full refund of any payments made beyond the non-refundable deposit.
Cancellations made less than 14 days before the event will result in forfeiture of the entire payment, including the non-refundable deposit.
Guest Count:
The final number of attendees must be confirmed at least 7 days before the party date. Adjustments to the guest count can be made up to this deadline. Any decreases in the guest count after this deadline will not result in a refund.
Late Arrivals:
Parties will start promptly at the scheduled time. Late arrivals may result in a shortened party duration, as we want to ensure all guests receive the full experience.
Code of Conduct:
All attendees must adhere to our studio's code of conduct and safety guidelines during the party. Any disruptive behaviour may result in the termination of the event without refund.
Liability Waiver:
All participants must sign a liability waiver before engaging in any activities at our studio.
Instructor Reservations:
Our studio will assign a certified instructor to lead the party. Requests for specific instructors can be made but are subject to availability.

General Refund & Exchange Policy
Refund types:
Refunds for classes will be issued as account credits for future class bookings.
Administrative Fee:
A nominal administrative fee may be deducted from the refund amount in some cases to cover processing costs.
No-Show Policy:
Clients who miss a scheduled class without cancellation won't be eligible for any refund or credit.
Exchange Policy:
Switching membership types (e.g., to a Credit Pass) will involve calculating the remaining value of the current membership and providing equivalent value in the new membership.
Additional fees may apply based on existing product prices.
The new membership/credit pass will maintain the same expiration date as the original.
Communication:
Refund or exchange requests must be submitted in writing to info.karmastudios.me@karmastudios.com, including full name, contact details, and request specifics.
Processing Time:
Refunds and exchanges will be processed within 14 business days of receiving the request.
By engaging with Karma Studios' services, you acknowledge and agree to abide by the terms of our refund policy. Please review this policy carefully before making any purchases or commitments.
Karma Studios reserves the right to update or modify this refund policy at any time. Any changes will be communicated through our official channels.
Class Reschedule & Cancellation Policies
At Karma Studios, we understand that life can sometimes present unexpected challenges. In order to maintain the integrity of our class schedules and provide a fair experience for all our clients, we have established the following Late Cancellation/Reschedule Policy:
Notification Period:
All cancellations and rescheduling requests must be submitted at least 6 hours before the scheduled class begins. This ensures that we have ample time to accommodate changes and allows other members the opportunity to join the class.
Online Platform or App:
To streamline the process and provide convenience, we encourage our members to use our online platform or mobile app for all cancellation and rescheduling transactions. This ensures accuracy and efficiency in updating class attendance records.
Late Cancellations/Reschedules:
Any cancellations or rescheduling requests made within the 6-hour window leading up to the class will result in the loss of the class credit. We appreciate your understanding as this policy is in place to maintain the quality and consistency of our services.
Refund Method:
If you cancel your class reservation within the specified timeframe, you will receive a refund in the form of class credit applied to your Karma Studios account.
Exceptions for Illness:
We recognize that illness is unpredictable. If you are unable to attend a class due to illness, we kindly request a doctor's note for verification. In such cases, we will make exceptions to the standard policy, and your class credit will be protected.
Weather Conditions:
We understand that weather conditions can impact travel and attendance. In cases where extreme weather conditions make it unsafe to travel, the studio reserves the right to make decisions regarding class cancellations or reschedules. Members will be notified promptly in such situations.
Studio's Discretion:
Karma Studios reserves the right to exercise discretion in certain situations. We understand that unique circumstances may arise, and we are open to reviewing individual cases with fairness and consideration.
Privacy Policy
Please note that we must collect personal information from all new participants through our Par-Q form. This includes but is not limited to full (legal) name, email address, phone number, and some medical history.
This information is needed to help us identify you, evaluate your level, and make sure you have the best experience at our studio! This information will not be distributed or used for any other purpose, it is only for our records and will always be kept private.
